Texas Medicine is printed computer-to-plate, using a PDF-based workflow. Your ad will process more efficiently if you supply us with Macintosh-originated digital files and a SWOP (Specifications for Web Offset Publications) standard proof.

Deadlines
Advertising materials are due to the production department by the 8th of the month preceding publication. When the materials due date falls on a non-business day, electronic files are due the preceding business day. Texas Medicine is not responsible for reproduction quality if materials are received after materials deadline.

Ad Production Guidelines
1. Producing Your Ad
- Dimensions. See above. Ads should be designed so they can be placed on either left or right pages.
- File Type. Please prepare your ad for submission as a PDF or Photoshop EPS file.
- Type/Fonts. Adobe Type 1 fonts are preferred. Choose bold or italic fonts when needed; don't apply bold or italic styles to plain fonts or your type will not output correctly. To avoid font issues with EPS files, convert your EPS file's fonts to outlines. Do not use 4-color black type.
- Crop Marks/Bleed. Use crop marks to indicate bleed and trim. Offset your crop marks enough to keep them out of the bleed. Build a 1/8” bleed into files.
- Image Resolution. All images must be at least 300 dpi.
- Colors. Use process CMYK colors (not RGB, spot, or index colors). Do not embed color profiles in image files.
- Density of Tone. In black-and-white ads, a tone density greater than 85 percent may fill in on press. For 4-color, the sum of percentage tone values should not exceed 300 percent, with no more than one color printing solid. Two colors should not exceed 170 percent with one color solid or both colors screened.
2. Pulling a Proof
- All ads must be accompanied by an acceptable proof. Laser or inkjet proofs for 4-color ads are not acceptable. This proof will be used for printing purposes only. We are not responsible for reproduction quality if no color proof is provided or if only a color laser, inkjet print, or fax is provided as a proof.
- All proofs should be output at 100 percent size with no corrections marked on the final proof. Four-color ads require a SWOP standard digital proof showing color bars and crop marks. For black-and-white ads, a laser print, inkjet print, or velox is acceptable.
3. Sending us Your Ad
- Send us your ad via e-mail or on CD. Please scan your disk with a virus checker before sending it.
- Enclose your production contact information.
- Send your package to Texas Medicine, 401 W. 15th Street, Austin, TX 78701, Attention: Phyllis Meckel. Be sure to ship via trackable carrier if not using e-mail. Files may be e-mailed to phyllis.meckel@texmed.org.
4. Problems
- Any disk intervention required by Texas Medicine or our printer may result in additional charges to the advertiser. If we encounter a minor problem with your ad, we will ask you to correct the problem and submit a revised file on disk via overnight delivery or e-mail assuming our deadline permits it.
- The most common problems include images that are low-resolution, missing fonts, incorrect ad sizes, images not converted to CMYK, text outside the safety area, excessive density of tone, ads created in nonstandard or Windows applications, embedded color profiles that add LAB color, and lack of bleed on bleed files.
5. Preprinted Inserts
Advertisers running preprinted inserts will be supplied specifications and approval procedures upon request. A proof must be submitted for review and approval prior to printing.
6. Creating a PDF

7. Film Specifications
Film submission is not accepted for publication in Texas Medicine.

Deadlines, Closing Dates, and Cancellations
Space Reservation (signed contract): Insertion orders/advertising contracts are due on the 1st of the month preceding publication. Advertising schedule must be completed within one year from first publish date.
Artwork Deadline: Camera-ready art for all ads must be received by the 8th of the month preceeding publication. A proof must also be received by the 8th of the month preceeding publication.
Inserts: Preprinted inserts must be received by the printer by the 10th of the month preceding publication.
Cancellations: No cancellations will be accepted after the 1st of the month preceding publication, and none may be considered executed unless acknowledged in writing by representatives of the Texas Medical Association.

Payment
First-time advertisers are required to send payment with ad materials. Failure by any advertiser to pay on time will result in loss of any applicable discounts. Checks, MasterCard, American Express, VISA and Discover are accepted.
Agency Commissions: Recognized advertising agencies who provide camera-ready art for display ads are eligible for a 15 percent discount.
